A dental virtual assistant
who works your hours.
Many dental VA arrangements run opposite your clock, so your morning is their midnight and every question waits a day. Ours work live through the full US business day, inside your practice management system.
A virtual assistant twelve time zones away cannot call a payer, cannot reach a patient, and cannot ask you a question without waiting a day for the answer. The work still happens — it just happens overnight, in a queue, with a handoff gap every morning where the exceptions pile up.
The time zone is the whole argument
01
Live during your day
The team works live through the entire US business day. When a payer picks up, someone is there to talk to them. When you need an answer, you get it in minutes rather than tomorrow.
02
Inside your system
We work in your practice management system rather than exporting your data into ours. No migration, no second tool for your in-office team, and nothing to reconcile at month end.
03
A team, not one person
A single VA is a single point of failure — holidays, illness, resignation. You get a trained bilingual team with shared coverage and documented handover, so the work does not stop when one person does.
The admin work, not the clinical work
A dental virtual assistant covers the front-office and back-office tasks that consume your team's day without touching a patient. What we do not do is anything clinical, and no vendor should tell you otherwise.
- Inbound calls, scheduling and confirmations, booked directly into your system.
- Insurance verification ahead of the appointment, and benefits documented where your team will actually look.
- Claim submission, follow-up and payment posting, worked on a daily cycle.
- Recall, reactivation and unscheduled treatment follow-up.
What this actually looks like day to day
A trained bilingual team working the full US business day, live, rather than an overnight shift that hands back a queue in the morning.
How the team is staffed
Five locations across two regions, all running Dentrix Ascend, supported by one coordinated team instead of five separate front desks.
Multi-location dental group
Work happens inside your practice management system, under a signed BAA, with audit logging on every record touched.
How your data is handled
Common questions
How is this different from a Philippines-based dental VA?
Mostly the clock. Arrangements staffed from the other side of the world are roughly twelve hours out of phase with the US, so the work happens overnight and anything needing a decision waits until the next day. Our team works live through your business day, which means a VA can be on the phone to a payer, reach a patient, or ask you a question and act on the answer within the same hour. On cost the two are broadly comparable; on same-day responsiveness they are not.
Is a dental virtual assistant the same as a dental assistant?
No, and the similarity of the names causes real confusion. A dental assistant works chairside and is clinical. A dental virtual assistant is an administrative role — phones, scheduling, insurance verification, billing, recall. Nobody on our team touches clinical care or gives clinical advice.
Do we get the same person every day?
You get a named primary and a trained backup who knows your practice, rather than whoever is free that morning. That is deliberate: a single dedicated VA is a single point of failure, and practices that buy one person usually discover this during a holiday or a resignation.
What practice management systems do you work in?
Dentrix Ascend is where the team is deepest — five live locations across two regions. We also work in Open Dental and other systems. We are not a software reseller and earn nothing from which system you run, so if the honest answer is that your system is not our strongest, we will say so.
How is patient information protected?
Under a signed Business Associate Agreement, with encryption in transit and at rest, role-based access, and audit logging on every record touched. The Security & HIPAA page sets out the controls in full.
Are you hiring dental virtual assistants?
This page is written for practices looking to hire support, not for candidates. We do recruit, but not through this page — applying to a posted role is the right route rather than the form here.
