A dental back office, on your clock.
Bays Dental Group PC runs the front-office and revenue-cycle work that US dental practices cannot get to — phones, verification, claims, A/R and recall — inside the systems those practices already use.
We are not a call centre that also does billing. We are a dental back office that works your hours.
The distinction matters. A generalist call centre can answer a phone. It cannot tell you why a claim was downgraded, or which frequency limitation just turned an accepted treatment plan into a patient balance. Dental insurance is a specialist domain, and treating it as generic back-office labour is why a lot of outsourcing disappoints.
Everyone on the floor works dental. The agents answering your phones can read a ledger. The people working your claims know what an alternate benefit provision does to an estimate.
Time zone is not a detail
Our team works live through your business day. Your phones are answered while your patients are calling, and payers are reached while they are open. Arrangements that run opposite your clock do the work overnight and hand back a summary — fine for data entry, useless for a ringing phone.
- Full coverage of US Eastern and Central hours, and most of Pacific.
- Bilingual English and Spanish, which matters for a large share of US patients.
- Experienced dental customer-operations staff, not generalist agents.
Narrow first, then wider
01
Start with one workstream
One location or one function, with metrics agreed in advance. You should be able to judge the work before expanding it — and walk away cheaply if it is not right.
02
Inside your system
We work in your practice management system rather than exporting to ours. No migration, no second source of truth, and your data stays where it is.
03
Visible by default
You get dashboard access to the same data we manage the floor on, including the numbers that make us look slow. Reporting you cannot verify is marketing.
Real people, named
We will introduce the team here by name. For an offshore vendor that matters more than it sounds, so we would rather do it with real photographs than stock.
Where is your team based?
Our business address is 24200 I-10 Unit 112, San Antonio, TX 78257. The team is distributed and works live through the full US business day, so your calls are answered and your claims are worked during your hours rather than overnight — not on a shift that hands back a queue each morning. How the team is structured and staffed is a fair question and we go through it properly on the call, including the access controls and the BAA, rather than in a paragraph here.
How many clients do you have?
We work with a small number of practices deliberately, and we would rather tell you that than imply scale we do not have. Our depth is real — five live locations on Dentrix Ascend — and our breadth is deliberately narrow while we grow carefully.
Are your agents dedicated to our practice?
Agents work assigned accounts rather than a shared pool, so they learn your providers, payers and scheduling rules. We will tell you who is on your account.
Do you use AI?
We use AI tooling internally to help our agents work faster. We do not put an AI in front of your patients as a substitute for a person, and we will not claim otherwise to sound modern.
