An AI dental receptionist that books, and knows when to hand off.
It answers first, books and moves appointments on its own, answers routine questions and makes follow-up calls. Emergencies, billing and lab questions go straight to a person.

What the AI takes, and what goes to a person
The AI receptionist
- Answers the call first, every time it rings through
- Answers routine patient questions
- Books, moves and confirms appointments on its own
- Makes follow-up calls
- Hands the call to a live person when it should
Always a person
- Emergency appointments
- Billing and balance questions
- Lab questions
An AI should not decide how urgent a toothache is, or explain a balance. Those calls are handed off live.
Four steps, and no dead ends
The point of an AI receptionist is that the phone never rings out. The point of ours is that a caller who needs a person still gets one.
- 01
It answers
The call is picked up straight away instead of ringing out or going to voicemail.
- 02
It works out what the caller needs
A booking, a change, a question, or something a person should take.
- 03
It books or answers
Routine requests are finished on the call: the appointment is booked and the question answered.
- 04
Or it hands off live
Emergencies, billing and lab questions go to a person, on the same call.
Three kinds of call, three outcomes
Most calls are routine and a few are not. Finish the routine ones; give the rest to a person without making the caller start over.
A routine call
A patient wants a cleaning, a new appointment or to move the one they have. The AI picks up, finds out what they need, books or moves the appointment and confirms it before the caller hangs up.
A question
Office hours, parking, what to bring to a first visit: answered on the call. If it turns out to be about a balance or a lab case, it goes to a person.
A call that needs a person
An emergency, a billing question or a lab question. The AI does not try to handle it. It passes the call to a live person on the same line, so the caller is not asked to call back and explain again.
Missed calls are the reason to do this at all. A patient who cannot get through rarely leaves a message; they ring the next practice. Our guide to what missed calls cost a dental practice shows how to work out your own number.
Alongside your team, with live answering behind it
An AI receptionist is the first line, not the whole front office. It works best when a person is always one hand-off away.
Your front desk
The AI takes the calls the desk cannot reach: lunch, checkout, two patients at once. Your team keeps the calls that need judgment.
Live answering behind it
A live team can sit behind the AI, as described on our dental answering service page: the AI answers first, people take what it hands off.
Follow-up calls
The AI also makes follow-up calls, such as confirming a visit. Pair it with patient recall to fill the schedule, not only answer the phone.
AI, live people, or both
“Virtual dental receptionist” can mean either. We run both, so you can choose the AI as the first line, live people, or the AI with a team behind it.
What is an AI dental receptionist?
A voice agent that answers your practice's phone, talks with the caller, and completes routine requests on the call: booking and moving appointments, answering common questions and making follow-up calls. Ours hands anything it should not handle to a live person.
What does it not handle?
Emergency appointments, billing and balance questions, and lab questions. Those are handed to a person rather than answered by the AI.
Can a patient still reach a person?
Yes. The AI hands calls off live when a person should take them, so the patient is not left at a dead end.
Is a virtual dental receptionist the same thing?
The term is used for both. Some vendors mean an AI voice agent, others mean live people working remotely. We run both: the AI receptionist described here, and a live dental answering service and virtual assistant team. Many practices use the AI as the first line with people behind it.
What does it book?
Routine appointments: new bookings, moves and confirmations, finished on the call. It does not book emergency appointments. A caller with a toothache is handed to a person who can judge how urgent it is.
How does the hand-off to a person work?
The call is passed to a live person on the same call, so the caller does not have to hang up and ring again. Who takes it is something we set up with you first.
What will it never do?
It does not take emergency appointments, discuss billing or balances, or answer lab questions. It does not decide how urgent a symptom is. Those calls go to a person every time.
What about patient data?
The same rule as every service we run: a Business Associate Agreement is signed before any access to patient data. The Security and HIPAA page sets out the controls, and we will walk through how the receptionist handles calls on the call.
