Open Dental support: how to get answers faster

Open Dental's support model is different from the big vendors' by design — more documentation, more community, less hand-holding. That suits some practices and frustrates others.

Open Dental is unusual in this market: the database schema is documented, the manual is exhaustive and public, and there is an active user community. That shapes support in a specific way — a large share of questions already have a written answer, and the fastest path is usually finding it rather than waiting in a queue.

Where to look, in order

  1. The official manual. It is genuinely comprehensive and organised by feature. Most 'how do I' questions end here.
  2. The version release notes. If something changed behaviour after an update, this is where it is recorded.
  3. The user forum and community groups. Practical answers from people running the same workflow, often faster than a ticket for configuration questions.
  4. Support itself, for anything account-specific, data-level or genuinely broken.
This ordering is not a criticism. Open Dental trades hand-holding for openness and lower cost — that is the deal, and it is a good deal for practices with some technical confidence or a decent IT partner. It is a worse deal for a practice that wants to phone someone and have it handled.

What support handles

  • Account, licensing and version questions.
  • Data-level problems that need someone with backend visibility.
  • Genuine defects — behaviour that contradicts the documentation.
  • eServices configuration where the issue sits on the vendor side.

What lands on you

Because Open Dental can be self-hosted, a category of problem belongs to you or your IT provider rather than to the vendor:

  • Server health, disk space and MySQL performance.
  • Backups — and, more importantly, whether those backups actually restore.
  • Workstation installs and version consistency across operatories.
  • Network and remote-access setup.
Verify your backups restore, not just that they run. A backup nobody has tested is a belief, not a backup — and this is the single largest operational risk of self-hosting any practice management system.

Before you open a ticket

  1. Note your exact version number. Behaviour differs between releases and this is the first thing you will be asked.
  2. Establish whether it affects one workstation or all of them. One workstation is almost always local — install, permissions or network.
  3. Write down the specific patient, claim or date. A concrete example resolves in one exchange; 'it's broken' takes three.
  4. Check whether the manual already documents the behaviour as intended.

The category support cannot solve

There is a third bucket that is neither a defect nor a configuration question: the work. Claims that need chasing. Aging that needs working down. Verification that needs doing before the appointment. Phones that need answering. No amount of documentation or support responsiveness creates the hours to do those.

Questions

Is Open Dental support included in the monthly fee?

Support is bundled with the standard monthly support-and-updates fee rather than sold separately. What varies is how much onboarding and training you buy alongside it, which is worth pinning down in writing.

Is Open Dental support worse than Dentrix or Eaglesoft?

Different rather than worse. You get less hand-holding and far more documentation and openness. Practices with technical confidence often prefer it; practices that want a single number to call for everything usually do not.

Can an outside team work in our Open Dental?

Yes. Open Dental supports per-user accounts with granular permissions, so an outsourced billing or front-office team can be scoped to exactly the areas it needs. That is how we work with client practices.

Who fixes it if our server goes down?

You or your IT provider, if you self-host. That is the trade-off for the lower licence cost and the open architecture — and it is the single biggest thing to be honest with yourself about before choosing self-hosting.
