Dentrix Ascend pricing: how it's structured and what to ask
There is no public price list, and any article quoting you a precise monthly figure is guessing. What you can know is the structure — and which questions move the number.
Ascend is sold as a cloud subscription rather than a perpetual licence. That is the fundamental difference from legacy desktop Dentrix: you are not buying software and then paying for support, you are paying an ongoing fee that includes hosting, updates and support.
What moves the price
- Number of locations, and whether they are billed independently or as a group.
- Number of providers — the most common basis for scaling.
- Which add-on modules are included: imaging, patient engagement, eligibility checking, analytics.
- Contract length and whether onboarding and data migration are bundled or billed separately.
- Payment processing, which is often quoted alongside the subscription and deserves its own comparison.
What the subscription removes
Comparing a cloud subscription against a desktop licence purely on monthly cost flatters the desktop option, because the desktop total ignores real spending you are already doing:
- Server hardware and its replacement cycle.
- Backup infrastructure, and the IT time to verify backups actually restore.
- IT support for workstation installs, updates and version drift.
- Downtime when the server fails, which is rare and expensive rather than frequent and cheap.
Questions worth asking before signing
- What exactly is included versus an add-on module, in writing?
- What happens to the price at renewal, and is there a cap on increases?
- Is onboarding, data migration and training included or billed separately?
- What does adding a location or provider cost, specifically?
- If we leave, in what format do we get our data, and at what cost?
That last one matters more than practices expect. Data portability is easy to agree to at signing and difficult to negotiate later.
The larger cost nobody quotes
For most practices the software subscription is not the expensive part of running a front office. Staffing it is — and staffing it twice, after turnover, is worse. It is worth comparing the fully-loaded cost of the people running your front desk and billing against what the software costs, because the ratio usually surprises people.
